Job Description:

ASA’s mission is to inspire creative thinkers and leaders through providing an innovative concentration in college preparation informed by the performing arts.

The Facilities Specialist is responsible for maintaining the cleanliness, safety, and overall condition of the school’s buildings, grounds, and equipment. Collaborating closely with school administration, staff, and external contractors, this role ensures that all facilities support the educational mission and remain in optimal condition. The Facilities Specialist performs a wide range of skilled maintenance tasks, including custodial services and basic repairs to commercial building systems. With expertise in multiple trades, this individual plays a key role in preventing disruptions to the school’s operations by working alongside the Operations Director to maintain smooth day-to-day functioning.

This position reports to the Operations Director.

Essential Duties and Responsibilities

Facilities

  • Daily Maintenance Operations: Prioritize and facilitate daily maintenance tasks and inspections, ensuring the overall functionality and safety of school facilities.

  • Facility Inspections & Preventative Maintenance: Inspect facilities, systems (e.g., electrical, HVAC, plumbing, security), and equipment to identify repair needs and implement a preventative maintenance program.

  • Design & Project Management: Design maintenance systems or projects to address specific needs, ensuring alignment with the school’s operational requirements.

  • Vendor/Contractor Coordination: Research and recommend external vendors or contractors for specialized repairs and services. Ensure all work is completed to satisfaction and within budget, and assist with vendor inspections when needed.

  • Communication & Status Tracking: Track and communicate the status of work orders, maintenance requests, and facility-related projects to all relevant stakeholders, ensuring timely completion and feedback.

  • Summer & Non-School Day Procedures: Collaborate with the Operations Director to establish and implement maintenance and custodial procedures for school breaks, including specialized cleaning and repairs.

  • General Maintenance: Perform various skilled maintenance tasks, including:

    • Furniture, wall, door, and jamb repairs

    • Installation of whiteboards, bulletin boards, and restroom fixtures

    • Electrical, HVAC, and plumbing repairs

  • Materials & Inventory Management: Monitor and optimize the use of materials, improve methods, and reduce waste. Maintain facility consumable inventories and manage equipment for preventive maintenance.

  • Preventive Maintenance Plans: Assist the Operations Director in creating and executing a preventive maintenance plan that covers the entire campus and minimizes disruption to operations.

  • Safety & Security Systems: Maintain, test, and monitor the school’s fire and security systems to ensure compliance and functionality.

  • Traffic & Parking Management: Assist with the management of campus traffic and parking during events and daily operations.

  • Facilities Set-Up & Event Support: Coordinate facilities setup for various activities during or after school hours, ensuring the proper arrangements are in place.

Custodial and Grounds Maintenance

  • Daily Custodial Operations: Oversee daily custodial and grounds operations to ensure the cleanliness and upkeep of the campus.

  • Grounds Inspection & Cleanliness: Inspect school grounds regularly, performing tasks such as trash pickup and ensuring proper maintenance of the sprinkler system in collaboration with the landscape services provider.

  • Emergency Cleanup Support: Provide quick-response support for emergency cleanups, including spills and biohazard material during school hours.

  • Restroom Maintenance: Monitor restrooms for cleanliness, supply levels, and maintenance needs to ensure a clean and sanitary environment for students and staff.

  • Vendor Custodial Supervision: Supervise vendor custodians to ensure their work meets quality standards and that supplies and repairs are communicated and addressed efficiently.

Other Responsibilities

  • Asset Management: Assist the Operations Director with the life cycle of fixed assets, ensuring proper maintenance, documentation, and tracking.

  • Staff Communication: Maintain regular communication with staff, eliciting feedback and ideas to improve facilities and processes.

  • Back-Up Driver: Serve as a back-up driver for rental vans and trucks as needed to support school activities or events.

Minimum Qualifications

  • High School diploma or equivalent.

  • Minimum of two (2) years prior experience in maintenance and/or construction services; custodial service experience preferred.

  • Available after hours and on weekends, if needed, and required extra days.

  • Reliable transportation.

  • Valid Driver’s license and clean driving record.

  • Valid Arizona Department of Public Safety Identity Verified Prints (IVP) card.

Required Knowledge, Skills & Personal Characteristics

  • Working knowledge of basic building operations, materials, methods, services, terminology, equipment, tools and activities of a building maintenance, repair and custodial services programs.

  • Knowledge of the uses and purposes of common hand and power tools.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Knowledge of software programs for email, word processing, spreadsheets, data management, and work orders; Microsoft Office Suite and G Suite preferred.  

  • Ability to work cooperatively and communicate effectively -- both orally and in writing, using proper grammar and vocabulary -- with students, staff, administration, parents, and vendors.

    • Regularly stand, walk, use hands and fingers to handle or feel objects, tools, or controls, use hand-strength to grasp tools, and climb onto ladders.  

    • Frequently required to reach with hands and arms, squat, stoop or kneel, reach above the head and reach forward bend or twist at the neck and trunk.

    • Must be able to lift and/or move up to fifty 50 pounds such as cleaning supplies, tables, equipment and other school related items.  

    • Occasional lifting and/or moving up to ninety (90) pounds such as copy paper and bulk furniture.  

  • May be subjected to odors, chemicals, blood and other bodily fluids, extreme temperatures, work space restrictions, intense noises, and heights.
